  1. Acceptance of Terms

    By accessing or utilizing this website and/or engaging with our services, you consent to adhere to these Terms of Use. Should you disagree with these terms, we kindly request that you refrain from using the website or availing yourself of our services.

  2. Single Supplement

    Our Vietnam photo tour prices are set for two people sharing a room. If you’re traveling alone or prefer your own room, this is an extra charge for it. We’ll try to pair you with another solo member with the same gender.

  3. Tours Reservations and Payments

    1. Accepted payment methods:
      • Bank wire transfer (recommended)
      • Western Union
      • Credit Card via PayPal
    2. To secure a spot with Vietnam Photo Tours LLC, submit an e-signed registration form along with a minimum deposit per passenger.
    3. Payments must be made via Bank wire transfer or PayPal (no account required; credit/debit cards accepted).
      • For existing tour, please use our payment from booking form.
      • For custom tour, a payment link will be provided via email.
    4. Failure to pay the final balance by the due date may result in cancellation, subject to the penalties outlined below.
    5. Final balances are payable by bank transfer; if this isn’t possible, we’ll offer alternatives.
    6. Clients have the option to minimize transfer fees by paying the full amount in one transaction.

  4. Payment Terms

    1. Group Tours
      1. First deposit: $2,000 upon booking.
      2. Remaining balance: 90 days before the tour commences.
      3. Pay the full tour fee instead of a deposit if you start booking less than 90 days before the scheduled departure.
    2. Private Tours
      1. First deposit: $2,000 upon booking.
      2. Remaining balance: 120 days before the tour's starting date.
      3. Pay the full tour fee instead of a deposit if you start booking less than 120 days before the scheduled departure.
    3. One Day Tour
      1. Full tour fee upon booking.

  5. Travel Insurance

    1. We highly recommend that all trip participants carry their own trip insurance while attend our tour. This should cover any portion of trip payments that we are unable to refund due to cancellation. It should also cover unused airline tickets and so forth. It is the participant’s responsibility to carry adequate health insurance for the areas we will be visiting.
    2. Any emergency care, hospital visits, dentist’s visits, doctor’s visits, prescriptions, and so forth are not covered by us and will be billed directly to the participant if no insurance is carried. The participant is solely responsible for ensuring their travel, health, dental, and prescription insurance provides adequate coverage.

  6. Itinerary Changes and Delays

    1. We will try to stick to the published itineraries of Vietnam photography tour as much as possible. However, there are circumstances outside our control that may cause changes or omissions. These include things like inclement weather, geopolitical events, unexpected closures, transportation delays, sickness, etc.
    2. In the event circumstances outside of control cause a significant deviation to the itinerary, we reserve the right to make the necessary changes to ensure the most successful photo tour outcome.
    3. No refunds can be given for adverse circumstances outside of our control. Participants should allow some degree of flexibility in the itinerary and scheduling.
    4. If an itinerary change is needed before the trip departs, we will communicate this to the trip participants. Per diem refunds can be given for any significant pre-trip itinerary changes.

  7. Cancellation

    1. We highly recommend travel insurance services.
    2. Cancellations must be submitted in writing (email is fine). Once the tour starts, no refunds will be issued for unused portions (e.g., rooms, meals, flights, tour days, events, or services).
    3. Cancellation penalties, detailed below, reflect costs we incur on your behalf, including non-refundable payments to agents, hotels, airlines, etc.
    4. Vietnam Photo Tours LLC isn’t liable for cancellations past deadlines, regardless of circumstances.

  8. Group Photo Tour Cancellation Terms

    The terms below apply to all participants joining our existing Group Photo Tours (Multi-Day, Publicly Offered). The cancellation terms are per person:

    1. Minimum Initial Deposits:
      1. Refundable for 7 days after payment, minus $300 service fee, and bank/Paypal fees.
      2. After 7 days, the deposit converts to a credit for your current tour. It’s non-refundable but transferable (minus any non-recoverable tour costs) to a future tour within 1 year, if cancelled at least 90 days before the start date.
    2. Full Payments:
      1. Refundable (minus deposit and bank fees) if cancelled 90+ days before the start date.
      2. Transferable to a future tour within 1 year if requested 90+ days prior.
      3. Cancellations or transfers less than 90 days out are non-refundable and non-transferable.

  9. Private Photo Tours Cancellation Terms

    The terms below apply to all participants booking our Private Photo Tours (custom-created, non-listed itineraries). The cancellation terms are per person:

    1. Minimum Initial Deposits:
      1. Refundable for 7 days after payment, minus $300 service fee, and bank/Paypal fees.
      2. After 7 days, the deposit converts to a credit for your current tour. It’s non-refundable but transferable (minus any non-recoverable tour costs) to a future tour within 1 year, if cancelled at least 120 days before the start date.
    2. Full Payments: Based on days before the tour start date when cancellation is received:
      1. 120+ days: Full refund minus $300 service fee, engagement fee*, non-refundable costs incurred, and bank/PayPal fees.
      2. 119–90 days: 75% refund minus engagement fee and, non-refundable costs, and bank/PayPal fees.
      3. Less than 90 days: No refunds—please secure trip cancellation insurance.

    3. * Engagement Fee (for Private Tours Only): $500 USD (6 days tour or less) or $1,000 USD (7+ days tour), non-refundable but applied to the tour cost.

  10. One-Day Photo Tours Cancellation Terms

    1. A 50% non-refundable deposit plus bank/PayPal fee is required to book the tour.
    2. The balance is due 10 days before the tour. No refunds within 10 days.
    3. If paid in full upfront, 50% is non-refundable, with the remaining 50% refundable up to 10 days prior.

  11. Refund

    1. In the event of another pandemic or global issue requiring us to cancel the tour, we will refund 100%, or you can choose to use it as credit for future use.
    2. Refunds will be issued using the best method from Vietnam (bank wire transfer) or PayPal if available.
    3. For outbound refund transfers, processing times will be 7 days to 1 month, depending on your bank.
    4. Due to Vietnamese banking regulations on outbound transfers, you must provide supporting documents for a refund in case of cancellation. The processing time depends on the bank.
    5. In exceptional circumstances where a bank declines to process a refund, any outstanding amount will be converted into a credit, which may be applied toward future tours within 2 years.

  12. Use of Cookies

  13. Trademarks, Names, Photos, and Titles

    1. All brand names, logos, trademarks, and titles displayed on this website are the property of their respective owners.
    2. Unauthorized use, reproduction, or modification of any branding elements without prior consent is strictly prohibited.
    3. All images, photographs, and graphics used on this website are either owned by us, licensed for use, or used with permission.
    4. You may not download, reproduce, distribute, or modify any images without obtaining prior written consent.

  14. Intellectual Property Rights
